Volunteer Position Descriptions
Head Meet Official- These volunteers must have completed a clinic and have a badge. The HMO runs home meets and resolves all disputes. Prior to the meet, the HMO runs the briefings for timers and stroke-and-turn officials. He/she assigns officials to watch for early take-offs during relays. During the meet, the HMO reviews all DQ slips, signs, approves and submits them to the computer operators.In the case of a false start, the starter and HMO determine when to re-run a heat and inform computer operators. The HMO knows the weather policy and has the authority to suspend or stop a meet due to weather conditions. Additional training is needed for this position.
Computer Operator - During home swim meets, the computer operator will enter individual times for each competitor. Once all results are entered, a copy of the results will be printed for display. This position requires familiarity with basic PC operations.
Additional training is provided and required for this position.
Computer Assistant – Helps collect the time cards from the runners (when not doing other duties) and delivers them to the computer operator for input. Also posts the scores (hang up the results) and generally assist the computer operator.
Set-Up Crew - Sets up the pool area to be ready for the swim meet. This should be done one hour before the visiting team arrives and warm-ups begin. This includes ready bench area, concession area (or Concession committee will be responsible), lane lines, backstroke flags, announcer/starter area and equipment, roping off, setting up chairs behind pool, popping up tents and placing in appropriate areas, etc.
Breakdown Crew - At the end of the meet return pool to pre-meet conditions, including removing all trash to the dumpster, placing pool furniture back into correct positions, checking the area for trash, etc.
Announcer/Starter - Announces the upcoming events so that the clerk of the course and ready bench helpers can place the swimmers in the correct lanes. Communication with the ready bench area and clerk of the course is a must so that the announcer knows which events to call. Starts each heat with a starting device such as a horn, whistle, or starting system. First, make sure the timers are ready. Second, call the next heat to get on the blocks. Third, announce which event is beginning. Fourth, start the race. FOR EXAMPLE: “This is the 6 & under 25 yard backstroke. Timers ready? (Check to see that all timers hands are raised.) Swimmers take your mark (pause until all are still), start (blow horn, whistle, etc.)” If there is a false start, where a swimmer has left the block before you have sounded the device, sound the device at a constant pace until everyone stops. Call them back to the blocks and begin the heat again. Must attend training clinic to volunteer for this position.
Stroke & Turn Officials - Will observe the performance of each swimmer and ensure compliance with the rules of swimming as they apply to each competitive stroke. This person will turn infractions and report disqualifications to the computer operator. Additional training is provided and required.** For away meets our team will provide 1 stroke official per half (2 total).
Must attend training clinic to volunteer for this position.
Timers - There will be two timers in each lane (one from each team). One will have a clipboard and pencil to write times on the timing list. Raise your hand if you are ready when the Starter has asked, “Timers ready?” Stop the watch whenever the swimmer touches the wall.** Away and home meets will require 6 timers per half (12 total) from our team.
Runners - Runners gather the timing lists from the timers after every 2-3 races. Runners give the completed cards to the Computer Operator. Two runners are used. Each one will be responsible for one end of the pool.
Heat Ribbon Distribution - Distributes heat winner ribbons to the swimmer who comes in first in the event. Watching each event carefully is important – if it is very, very, close then the timers cards must be consulted for times and if a winner can still not be determined then ribbons can be distributed to both winning swimmers. “When in doubt, hand them out!”
Head Clerk of the Course - This is the person that runs the Ready Bench/Clerk of Course and helps to place swimmers in the correct heat. This person will be notified of all scratches prior to the start of the swim meet.
Ready Bench Helpers (RBH) – RBH are helping to locate swimmers and crowd control them in the ready bench area. RBH will place them in their chairs under the tent or line them up for relays, verify that each child is seated or lined up correctly and walk the children up the walkway to the pool area and seat them at the end of the pool. For relays, it is very important to have more than two ready bench helpers from each team.** Away meets will require at least 2 ready bench helpers per half.
Ribbon Writer - Each team is responsible for their own team ribbons after each meet.
Ribbon labels are given out by either the Computer Operator or the Team President, and a label on the appropriate “place” ribbon for each swimmer. The labels are printed in alpha order for each swimmer. Group all ribbons for the same swimmer together and put them in the respective swimmer’s folder in the filing boxes .If a swimmer does not “place” then a Super Swimmer ribbon will be awarded. Super Swimmer labels will also be printed and will need to be attached to a Super Swimmer ribbon. Absent swimmers do not receive any ribbons.
Concessions - Helps with selling drinks and food items during the home swim meets. Will be responsible for collecting cash and change in our cash box. Alert the Concession Chairperson to any supply needs. Concession Chair will be responsible to re-stock supplies if in charge of concessions or provide the Team President with a list of supplies needed for the next meet.
Water Runners – Periodically distribute bottles of water to all volunteers working the swim meet once or twice a shift.
Event Number Flippers - Sit at the side of the pool near the announcing area and flip the event numbers as needed. These numbers will tell parents and swimmers what events we are calling at the Ready Bench and what event we are currently swimming. Must make sure the numbers are updated and current.
Ready Bench Number Flipper – Another number pole is located at the ready bench area. This person is responsible for keeping the event numbers up to date. This pole will reflect the numbers that we are currently calling to the ready bench.
